Associate Professor

Must have the following
  • Ph.D. degree in a relevant field.
  • At least 8 years of university teaching; four (4) of which as full time Senior Lecturer.
  • Successfully supervised at least four (4) Masters students or two (2) Ph.D. since being appointed Senior Lecturer
  • i) Either four (4) articles in refereed journals, or ii) Two (2) articles in refereed journals plus one (1) book by a reputable publisher, since being appointed Senior Lecturer.
Senior Lecturers

Must have the following:
  • a) Ph.D. degree in a relevant field.
  • b) At least 5 years of university teaching, 3 of which as full time lecturer after PhD degree qualification
  • c) Either two (2) articles in refereed journals or one (1) book by a reputable publisher, since being appointed Lecturer.
Lecturers

Must have the following:
  • Ph.D. degree in relevant area OR
  • Masters degree in a relevant field with at least 3 years fulltime teaching experience in an institution of higher learning.
Note for all qualifying academic staff:
  • Four (4) years experience in judicial services may be accepted in lieu of two (2) years university teaching
  • Renumeration of academic staff will range from Ksh 250,000-Ksh 600,000 (entry negotiable)
  • • Note that those who qualify for the above appointments subject to their experience can also be considered for additional responsibilities i.e Dean, Associate Dean or Head of Department.
Administrative Staff

Executive Secretary
  • Provide personal administrative support to management and the Vice-Chancellor’s office through conducting and organizing administrative duties and activities including receiving and handling information.
Job Description
  • To provide linkage support to the Vice-Chancellor and supporting office (Deputy Vice-Chancellor and Registrar Academic Affairs).
  • Prepare and manage correspondence, reports and documents.
  • Organize and coordinate meetings, conferences, travel arrangements.
  • Take, type and distribute minutes of meetings.
  • Maintain University schedules, almanac and calendars.
  • Arrange and confirm appointments.
  • Organize internal and external events.
  • Handle incoming mail and other material.

Laundry attendant
  • Should be certificate holder in laundry from a recognized institution
  • Should have 2 to 3 years work experience.
  • Salary scale - Ksh 30,000- Ksh 60,000 (entry negotiable)

Duration of Assignment: 6 months Special Short Term Contract with possibility of extension

General functions:
 
Under the overall supervision of the National Project Officer and under the direct supervision of the Project Assistant, the incumbent will provide routine and administrative assistance in assisting to implement all activities in relation to conflict prevention and psychosocial support, as well as sustainable livelihoods and natural resource management.

Essential functions:
 
1. Assist the project assistant to carry out activities specified in the work plan for the implementation of livelihood support and conflict prevention.
 
2. Maintains project administration systems as established by the Project Manager, including filing, general administration and office functionality.
 
3. Documents, maintains and dispatches all minutes and related documentation from meetings.
 
4. Assist in organizing training workshops for relevant NGOs, Government administration, community representatives and leaders and to selected volunteers.
 
5. Administrative Support:
 
a. Maintains office administration systems as established by the Project Assistant, including collation of reports, dispatch and collection of documents/supplies/equipment, general filing and office functionality.
 
b. Maintains records of locally contracted staff especially time sheets.
 
c. Supports compliance with all field based security requirements through administrative support for Security Clearance requests and Travel Authorizations among others.
 
d. Ensures smooth professional running of the field office particularly in support of the IOM’s Japan funded project.
 
6. Finance Support:
 
a. Assist with the preparation of Payment Requests
 
b. Ensures timely hard and soft copy dispatch of accounting records.
 
c. Ensures timely reimbursement of training expenses to participants and service providers.
 
7. Logistics Support:
 
a. Supports procurement of field office materials.
 
b. Supports all field based capacity building activities including identification, set up and break down of venue.
 
c. Requests security clearance for field based staff as required.
 
d. Supports logistics for assessment and training missions including transport and accommodation.
 
8. Undertake duty travel and field evaluation and needs assessment visits to other parts of the region as requested.
 
9. Assist in any other tasks that may arise as a result of project activities.
 
Qualifications (Education, experience and competency)
  • Advanced Diploma in logistics and supply chain, business administration, social sciences, or other relevant fields.
  • Minimum of 2 years’ experience undertaking community level activities in Kenya including related logistic work, development of materials and direct contact with communities.
  • Previous work as a Trainer in conflict transformation and livelihoods, and the ability to present adequate presentations.
Desirable IOM Competencies: 
A) Behavioral - Accountability, Client Orientation, Continuous Learning, Communication, Creativity and Initiative, Leadership and Negotiation, Performance Management, Planning and Organizing, Professionalism,
Teamwork, Technological Awareness.

Save the Children Administrator Job in Nairobi Kenya

Job Purpose: The Administrator for Save the Children Somalia/Somaliland Programme is accountable for providing, efficient and proactive administrative support to the Somalia/Somaliland Programme in Nairobi.
Roles and Responsibilities
  • To ensure that the Nairobi Assistant Administrators act as a high performing team (through coaching and mentoring) delivering results as required and to promote this through regular 6 monthly performance review .
  • To ensure and effectively monitor that all international staff engaged by the Somalia Programme have valid working documents (Business Visas. Special Passes, Work permits, are registered to pay tax and secure a PIN number.
  • Ensure that up-to-date information on travel, work permits/special passes, guesthouses occupations is readily available.
  • Regularly monitor administrative responsibilities for the administrative assistants and provide adequate support including liaising with Human Resource on the appropriateness of current staffing levels .
  • Ensure that all new staff in the Nairobi office receive an induction on Administration systems and procedures.
  • Ensure that staff leave records are properly maintained and updated.
  • Maintain a handbook incorporating all SC guidelines and policies related to administration
  • Develop, implement and regularly evaluate office (including guest houses) policies and procedures, ensuring they are being adhered to and provide suggestions for areas of improvement to improve operational efficiency
  • Ensure that all travel arrangements are made for staff and visitors (including interview candidates and consultants) to facilitate their entry in the countries they are visiting;
  • Manage guesthouse bookings, housekeeping and maintenance requests.
  • Ensure that the office is regularly serviced and maintained in a clean and appropriate manner.
  • Liaise with the Kenya Programme to ensure that organizational memberships are regularly updated
  • Coordinate with the Kenya Programme and ensure provision of administration services to Somalia Programme team.
  • Lead on organizing and identifying appropriate venues for meetings, workshops and accommodation for staff, visitors while ensuring value for money
  • To ensure that document retrieval systems for reference and working documents within the Admin office are efficient and easy to access.
  • Ensure that all general office equipment are regularly serviced and maintained.
  • Maintain regular survey and trend analysis of administration services, costs and recommended suggestions/systems that would improve cost effectiveness and efficiency.
  • Regular checking of the office suggestion box and forwarding feedback received to the HR Director.

Desirable:
  • Basic financial skills, particularly in budgeting;

  • Develop, implement and regularly evaluate office (including guest houses) policies and procedures, ensuring they are being adhered to and provide suggestions for areas of improvement to improve operational efficiency
  • Ensure that all travel arrangements are made for staff and visitors (including interview candidates and consultants) to facilitate their entry in the countries they are visiting;
  • Manage guesthouse bookings, housekeeping and maintenance requests.
  • Ensure that the office is regularly serviced and maintained in a clean and appropriate manner.
  • Liaise with the Kenya Programme to ensure that organizational memberships are regularly updated
  • Coordinate with the Kenya Programme and ensure provision of administration services to Somalia Programme team.
  • Lead on organizing and identifying appropriate venues for meetings, workshops and accommodation for staff, visitors while ensuring value for money
  • To ensure that document retrieval systems for reference and working documents within the Admin office are efficient and easy to access.
  • Ensure that all general office equipment are regularly serviced and maintained.
  • Maintain regular survey and trend analysis of administration services, costs and recommended suggestions/systems that would improve cost effectiveness and efficiency.
  • Regular checking of the office suggestion box and forwarding feedback received to the HR Director.
  • Tendering of administration related suppliers (including hotels) to ensure quality, efficiency of services provided.
  • Ensure filing systems for all administration functions are maintained and current
  • Prepare Administration cost benefit operational reports (Office stationery, guesthouses, hotels etc) to monitor and maintain office supplies inventory
  • Maintain a safe and secure working environment
  • Maintain a “welcome to Nairobi” document to be sent to visitors prior to arrival and ensure that all visitors receive a security briefing within 24 hours of arrival in Nairobi.
  • Ensure that all Nairobi based staff, and where requested Somalia based staff, hold up to date SC ID cards.
  • Regularly update the Somalia Programme staff lists, contact lists with Regional Office, Global directory and the NGO Consortium data base.
  • Ensure that all visitors to the programme have prior clearance.
  • Lead on all negotiations with the Kenya programme related to sharing costs and facilities in the office and facilitate the payment of the Somalia Programme share of utilities, communication services, staff and rent.
  • Respond to ad-hoc enquiries from the general public and also to information requests from London and where necessary forward to the appropriate people
Budget Management
  • In collaboration with the HR Director, manage the Nairobi office budget with a £2,000 limit.
  • Prepare the annual budget, approve all expenditures (within this limit) against this budget and support costs for the Nairobi office
  • Monitor the office budget through monthly review meetings and produce a monthly variance analysis report.
Qualifications and Experience:

Essential:
  • University Degree or Higher Diploma in Business Administration
  • Minimum 3 years administration experience in large international nongovernmental organization or other international relief/development body.
  • Strong planning, coordination, and reporting skills, with the ability to organize a substantial workload comprised of complex, diverse tasks and responsibilities;
  • Experience in dealing with Immigration and the INGO Board
  • Resourcefulness and creativity in developing the role of administration and ensuring the most effective support ;
  • High level of maturity, and strong people management skills, with experience in a multicultural and diverse team;
  • Strong communication and interpersonal skills
  • Complying with and promoting all Save the Children UK Global policies such as Child Safeguarding, Whistle blowing, Fraud, and Health and Safety.
Desirable:
  • Basic financial skills, particularly in budgeting;
  • Experience in administration support provision within an emergency response or highly complex and dynamic environment
